  2. Launching Your First Ontora Interview Cycle

An Ontora engagement begins by inviting employees across your organization to participate in AI‑led conversations about their work.

The goal of the first interview cycle is to quickly gather a broad view of how workflows operate across teams.

Step 1: Employee invitations are sent

Employees receive an invitation to open a one‑on‑one conversation with the Ontora agent. These sessions are self‑serve and do not require coordination from leadership or operations teams.

Participants simply open the conversation and begin discussing their work with the agent.

Step 2: Guided conversations capture operational knowledge

During the interview, the Ontora agent asks structured questions about how work happens. It can ask follow‑up questions in real time based on the participant’s responses.

This conversational format allows employees to explain:

  • How their weekly work typically looks
  • Where delays or handoffs occur
  • What tools or processes they rely on
  • Where workarounds or inefficiencies exist

The goal is to capture how processes actually function in practice.

Step 3: Interviews run across the organization

Many conversations can run simultaneously across teams. This parallel approach allows Ontora to collect insights from a large portion of the organization in a short period of time.

Step 4: Leadership receives a synthesis

After the conversations are complete, Ontora produces a synthesis of the findings. This typically includes themes, quotes, operational insights, and suggested areas for improvement.

This synthesis forms the foundation for process analysis and operational decision‑making.
