How Ontora Works
Understand the three-step workflow Ontora uses to interview employees and generate operational insights.
Ontora uses AI agents to interview employees and synthesize what they learn into actionable insights. The system is designed to gather input across an entire organization quickly and transform it into a structured understanding of how work happens.
1. Employees receive one-on-one interview invitations
Each employee receives an invitation to a one‑on‑one conversation with the Ontora agent. The interaction is designed to feel like a guided conversation rather than a survey.
During the conversation, the agent:
- Asks questions about how work actually gets done
- Listens to responses and asks follow‑up questions
- Captures a transcript of the conversation
These conversations can run in parallel across the organization. Ontora describes average conversations as around 20 minutes in length and supports many simultaneous sessions.
The result is a large set of qualitative insights directly from the people performing the work.
2. Ontora synthesizes the information
After interviews are completed, Ontora analyzes the transcripts and connects them with company artifacts such as documents and tools used in the organization.
The system identifies:
- Recurring themes
- Broken handoffs between teams
- Process bottlenecks
- Operational patterns that appear across conversations
This synthesis turns hundreds of conversations into a structured understanding of how workflows function across teams.
3. Leadership receives insights and recommendations
The final output provides leadership with a clear operational picture.
Outputs can include:
- Themed insights drawn from employee interviews
- Process maps showing how work flows across teams
- A prioritized roadmap for improvements
These insights help organizations identify opportunities for cost reduction, operational transformation, or automation initiatives.
According to Ontora, this process can produce meaningful operational insights within hours rather than the months typically required for traditional consulting-style analysis.
